A video management system is the piece a client lives with every day, long after the cameras are hung. Picking one is less about the demo and more about a handful of questions that decide how the system ages. Here is the order worth asking them in.
Open or closed
The first fork is whether the platform is open or tied to one manufacturer’s cameras. Open platforms support a wide range of devices, usually through ONVIF profiles and native drivers, which protects the client if they want to change camera brands later. Closed ecosystems can be simpler and tightly integrated, but they lock the camera choice to the platform. For most commercial and public-sector work, favour open unless there is a specific reason not to.
Camera and device support
Confirm the platform supports the exact camera models in the design, not just the brand. Check ONVIF profile support for the features that matter, such as video (Profile S), recording and search (Profile G), and analytics or metadata (Profile M and T). A platform that only half-supports a camera will cost you at commissioning.
Licensing model
Licensing is where budgets get surprised. Ask whether licences are per camera, per server, or per feature, whether they are perpetual or subscription, and what upgrades and support cost each year. Model the licence cost across the retention and camera count the client actually needs, not the starting figure.
Storage and retention
Retention drives storage, and storage drives cost. Confirm how the platform calculates storage for the resolution, frame rate, codec, and retention days in the design, and whether it supports the redundancy the client needs. See the video storage calculation guide for the maths.
Cloud, on-prem, or hybrid
Decide where recording and management live. On-premises is resilient and independent of the internet. Cloud lowers on-site maintenance but needs real upload bandwidth. Hybrid records locally and manages centrally. Cybersecurity
The VMS server sits on the client’s network and holds sensitive video. Ask how the platform handles user roles, encryption in transit and at rest, hardening guidance, and how quickly the vendor patches.
